Thanks Kris, I happened to stumble across the thread this morning and quickly posted it to our forum. I just wanted to show them that we really are looking out for their best interest. I also explained that in the future they will need to give us a one weeks notice to get this kind of advertising onto the web site.

Yes, we need to establish some clear guidelines for Sponsor advertising e.g. where the info should be sent (gmail box?, RF forum), time of advance notice, our time commitment after notice, format of message (I recommend stating it should be ready to be copied and pasted to PSAS forum, Website and e-mail).

Couple of questions:
Is the entire e-vite distribution list copied into our gmail account or does it contain just current members? I think we should create several distribution list e.g. current members, sponsors only, bod members, and then everybody that is currently in the e-vite distribution.

Do we include an opt out statement on our gmail going out? That way if people that are still included on the e-vite distribution but want off they can let us know?


Can someone send me information on how I get into the PSAS gmail account , I know I probably got this info before, but I do not know where it is.

I deleted everything out of the gamil account as instructed.

We only have paid members and sponsors in the account.

We could re-import the data, eidt it into groupings,. Then we could add the opt out signature to all emails.

I think that would be perfect! We are being asked by our sponsors to e-mail sales info, and if we can comply to that request it should go along way towards strengthening the relationship with the sponsors. But we have to make the service as easy on ourselves as we can so we can commit to getting it done. I think the gmail account should be the tool for that.

I think we should establish guidelines mentioned in my previous post and then e-mail all of our sponsors letting them know that we are offering this service.

Might want to take a look at the Commercial Rules here on Reef Frontiers. I'm not sure if this violates the rule or not. What do you think?

You have got a good point there Vicki. Maybe in the future on the PSAS forum we should just state it as notice to members with a link to the sponsors own thread. We can provide details on the website and in the e-mail.

For example:

Title: PSAS Members Message

One of our sponsors has notified us of a great upcoming sale. For more details please see the news page on the PSAS Website or click here

We could ask the mod to replace the existing post to be pro-active
 
In the past we just mailed evites to sale. That was sparingly. Sponsors rarely took advantage of that. I think we need to set guidelines. Sponsors should give us notice upfront, say a week at least. That way it makes it easier on both sides. We look more professional. Last minute notice is hard on everyone.

Okay.....It's on the website.

I just spent an HOUR and a HALF editing, correcting errors and fixing it to make it look nice on our website. I really didn't have the time to work on it today either; but did so to try to keep another Sponsor happy.

I'd ask in the future, IF they want it posted to the website, to email me with the ad in HTML code JUST the way they want it to appear and also with their permission for me to do any 'last minute' editing; should they make any errors "I" can't live with. :D There were at least 20 corrections I did to grammar, punctuation, spelling and formating in this message.

I really don't like editing the work of others without their permission, but if it's going to be on our website, I want it to look nice.

Thank you. I have to admit that Everyone is always willing to jump in and help. I do not ever remember things being this smooth. Thank you all for making this a enjoyable place. :)

I agree that is why we need guidelines, we have to make it easy on ourselves or else we won't keep the commitment, which is even worse than not committing in the first place.

I think that between the six of us. The club will really go (or come) a long way this year with behind the scenes stuff. No offense to last years BOD's but this forum has more threads in one month than it did for three combined last spring. Lets keep the enthusiasm and energy going for years to come....

I agree. I have also noticed a lot more activity in the main club forum. I think our enthusiasm will rub off on the club and hopefully we will see a lot more involvement.
 
Well MtnDewMan came and went in the topside forum and I dont have a PM regarding the thread I started. I guess he didnt think it was that big of a deal . I noticed Ghazni posted a similar thread for shark reef not too long ago. I hope were not pushing the limits with this. I did ask however.
