We need to get a move on getting the BBQ/fundraisor planned....

Eric (salsaking) had offered either his house or his shop for the venue, so we need to follow up with that....

We also need to hit up the sponsors and whom ever else we can for donations.

for those that are new, last year we made a deal with the local sponsors....we would buy X amount of gift certificates and they would match our amount....Example: we would pay $100 and get $200.... This seemed to be a hit with members, but it did not make us any money. We pretty much broke even last year. But Eric donated $500 which made it all work it IMO.

In years past we have traditionally had a Huge tank to raffle off.. we would pay a local tank builder the cost of supplies and they would make a tank.... Last year the sponsor that was suppose to make the tank fell through several times and left us hanging and looking like idiots.




Here are my thoughts since time is working against us:

1. instead of tanks, we ask Jason (CFI) if he would be willing to cut us a deal/donate a couple of his most popular sized sumps...

2. We ask the local sponsors to do the matching of gift certificates agian and/or donate any drygoods.

3. We come up with other dry goods that we can purchase at wholesale pricing (I have a few connections) example: skimmer, Calcium Reactor, etc...

4. Instead of 2 and 3, we can ask the sponsors to donate certain dry goods that we will split THEIR cost on their item....

5. Like usual we will be purchasing the hamburgers, hotdogs, fixings, plates, and drinks. Salsaking will probably be featuring his famous margarita machine as well :)

So what kind of budget are we looking at?

I think gift certificates are a great idea, that way people can get what they want. If you raffle dry goods people can end up with things they do not need or use, while bigger things can be re-sold it would still be nicer let people get what they want. It seems it should be an easy sell with sponsors also as the gift certificate brings the person in the store and they may spend even more.
 
while the certs will work, people still want drygoods, I got many complaints about the lack of physical items last year.... We need a little of both IMO....
 
I just got off the phone with Eric and he is good to go for June 21st at the shop. I can start "negotiating" with the LFS's if no one else has started. I dont want multiple people calling the same shops.

I will attend but will not be able to eat do to allergies with Wheat.
 
Has anything else been done for the meeting. I am fearing that nothing has been done. I know that there will be a ton of memebers looking forward to this meeting and it would be a disaster if it didnt go well or live up to their expectations.
 
I am wondering if we should try to meet this weekend or one evening next week and hash out the details and assign task? Being so new to the board and the club I am not sure what I should be doing. I was not even a member of the club as of last years picnic so I do not know what is expected.

Do you all just want me to assign sponsors to get donations from, or do you want to use your mad negotiating skills on them Steven??

I am game for meeting in person, because I think more can get accomplished...I'm open friday evening, Saturday evening, or anytime sunday.....

I'd be up for meeting Saturday afternoon/evening if everyone wants to try again.
Randy, I still have that $100 from the big meeting two months ago. I guess we could use to meet up regardless.

The club is going to be buying some certs from stores and some dry goods from others in anticipation of them giving back and wanting to promote them selfs at this event..

We have started to split up some of the sponsors based on relationships that we have with them (if I'm missing someone, let me know):

I am currently working with Jason at CFI on my tank build and was thinking about calling him today anyway. What are we thinking to ask him for? Still the sump idea? Might be a little bit of a short notice. Should I just see what ideas he might have and what he would be willing to donate?
 
Kris - I would say to ask him if he has any ideas. Give Randy or myself a call when you have a free second(phone calls are much more productive than posts). :)

I spoke with Jason @ CFI. He indicated he had spoke with Colleen regarding a 120G tank at wholesale price and he said he was still willing and could have it ready before the picnic. I told him about our idea of credit towards a sump and he said he could do that, he wanted to think about the amount though. I will let you know when he gets back to me.

They want to donate these as they are the only local place to get Elos products. I am working with Cy on the price of a RODI unit.
 
So who usually posts the meeting notice? I was thinking we should at least announce the date so people can mark it on the calendar.
